P2W allows authorised users to create, access, authorise, close, store and report on permits electronically. P2W is browser based and highly flexible and can be easily configured by clients to make the system meet their specific requirements. It is therefore highly cost effective to implement and maintain.

Permit To Work
P2W has an Authorisation Engine at its core that supports the definition of a wide range of authorisation processes, including that of a Permit To Work (PTW) process.
The P2W Authorisation Engine can be configured to implement your own specific PTW process in the following ways:
- Permit Customisation: an online editor allows you to define your own types of permit to meet your own specific requirements.
- Flexible Authorisation: Define your own organisation specific authorisation process involving, for instance: Security, Competent Person, Authorised Person, Isolation Authority, Fire-master, etc.
- Checklists: define your own checklists for each sign off, to ensure necessary actions are taken and required data is captured (these use our Flexi-Form technology).
- Roles: participation within the authorisation process is role based, e.g. any member of staff designated as an Authorised Person (AP) can perform the AP sign-off if desired. This simplifies administration while maximising flexibility.
- Flexible Printing: the selection of what information appears in printed permits and the format used is completely configurable. This avoids the need for pre-printed stationery yet gives a consistent and flexible result.
- Process Management: P2W has several process management screens that support planning and management of both resources and jobs, including Daily Planning Meeting View and View All Permits.
P2W Risk Assessment
P2W also supports multiple methods for capturing Risk Assessments:
- They can be attached as external documents produced, for instance, by a Contractor.
- They can be created as a series of checklists, implemented using GEMsoft7's unique Flexi-Technology.
- They can be developed online by selection of appropriate hazards and associated controls from the P2W Hazard Register. This also supports team based risk assessments, escalation to higher authority depending on nature of task, and the assessment of each individual activity within the task. Use of a Risk Evaluation Matrix is also supported.
Isolation Management
The P2W Isolation module provides the following:
- Master Isolations.
- Isolation certificate.
- Multiple Isolation Points (IPs) per Isolation Certificate.
- Support for all types of IPs.
- Control links with permits that prevent permits from being issued until all isolations are in place. It also prevents IPs being removed while the permit is in a live status. This includes full support for Sanction To Test.
- Our Register mechanism also supports the creation of registers to suit your own requirements, e.g. one for Long Term Isolations, one for Broken Flanges etc. The Register mechanism supports reviews, which means you can define the LTI register to prompt for reviews every X weeks or months.
- Full support for printing of IP lists and tags, with the ability to reprint without automatic renumbering to preserve work already carried out.
- Role based control over competencies required to implement different types of IP, e.g. Mechanical competencies, Electrical competencies, Process competencies.
Contractor Management
P2W has extensive facilities for managing the activities of contractors on your site, from controlling their access on to site through management of their activities while on site, through to ensuring all permits have been properly closed off before they can leave your site.
Information that P2W stores and helps you manage for a Contractor include:
- The roles they can assume in the execution of work.
- The sites they can operate at and the roles they can assume at those sites.
- The services that they can provide at each site.
- The insurances held by the Contractor company.
- The certifications held by the company's staff.
- Their H&S statement and procedures.
P2W also provides support for:
- Management of the review process for the H&S policy from a contractor company.
- Monitoring the performance of contractors as they perform work on your site(s).
Access Control
P2W has an optional FrontDesk module for controlling the access of people to and from sites. FrontDesk makes the distinction between people coming on site for the purpose of work (contractors) and those coming on site for other reasons (visitors) and those who work for the company that manages the site (staff).
FrontDesk manages the coming and going of people to and from the site, and provides facilities for identifying who is on-site at any given time (for situations such as fire evacuations), and for doing searches and reports. FrontDesk may be used by receptionists for controlling access by visitors, by security guards when controlling access to a site, or in the permit office for recording access by contractors working on permits.
